Winning on End-of-Year Data Submissions

The end of the school year is a season of celebration. However, for operations and data teams, it’s also the busiest time of the year. Between closing out state compliance reporting, setting up summer school, and preparing for the next academic cycle, the workload can feel overwhelming.

1. Identify Your Requirements Early

Every state has unique compliance deadlines and technical specifications. Do not wait for the portal to open to see what has changed.

  • Audit your state’s accountability framework: Review technical guidance early to identify any new data fields required for this year.

  • Coordinate with other departments: Much of the data you need—such as final attendance, discipline records, or special education service minutes—lives with other team members.

  • Request data now: Give your colleagues plenty of lead time so they can deliver what you need without the last-minute panic.

2. Standardize Your Data Requests

To ensure efficiency and accuracy, don’t leave the format of incoming data up to interpretation.

  • Be specific: Clearly define if you need a high-level summary or a granular table including specific demographic markers.

  • Provide templates: At EdOps, we use standardized templates to ensure consistency across different regions and school leaders. Providing a "skeleton" Google Sheet or Excel file for your team to fill out reduces the time you'll spend cleaning and transforming data later.

3. Implement Quality Check as You Go

While it would be great if all data was entered cleanly the first time, we know that things will always slip through the cracks. Ongoing quality checks are critical to keep the cleanup from piling up right before the deadline.

  • Ongoing validation: We recommend monitoring and reflecting on your data systems throughout the year. If you haven't been quality-checking key pieces monthly, build in some dedicated “audit time” between now and your final deadlines.

  • Verify SIS vs. External Records: Ensure that the data in your Student Information System (SIS) matches your external trackers (like those for enrollment or discipline). Make sure you ask your school leaders to verify anything that comes out of your SIS before submitting.

4. Strategically Manage Overlapping Deadlines

The "End of Year" actually encompasses three phases: Closing the current year, Running summer school, and Launching the next year. These often happen simultaneously and have pieces that depend on each other..

  • Time Blocking: Block off non-negotiable time on your calendar for high-stakes tasks, like storing end-of-year grades or finalizing summer school schedules.

  • Be transparent about your internal deadlines: Give your internal teams deadlines and make your personal list visible it public to the other members of your team. Leverage visibility to help everyone stay on track.
